Privacy Policy

OlympIQ ("OlympIQ", "I", "me", or "my") is an online platform, built and run by a single developer, that helps schools and Science Olympics clubs organize schedules, event signups, materials, attendance, and team management. This Privacy Policy explains what personal information I collect, why I collect it, how I use and protect it, and the choices you have. It is written to align with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

Who this policy is for

OlympIQ is intended for use by teachers, club executives, and student competitors, typically in a Grade 9 to 12 school setting. Some users are minors. I ask that students use OlympIQ under the direction of a supervising teacher or club, and that a parent or guardian review this policy where required by their school.

Information I collect

  • Account information. Your email address and a password, handled by my authentication provider (Google Firebase Authentication). I never see or store your raw password.
  • Profile and participation data.Your display name, grade level (9 to 12), the Olympic(s) you join, your role (teacher, executive, or competitor), event preference rankings you submit, generated team and event assignments, and attendance records (including attendance-related "strike" counts used by your club's attendance policy).
  • Content you create. Schedules, forms, materials, and similar content created by teachers and executives.
  • Technical and security data.To protect the service from bots and abuse, I use Google reCAPTCHA and Firebase App Check, which may collect device and usage signals as described in Google's privacy policy. I do not use advertising or analytics tracking cookies.

How I use your information

  • To create and secure your account and sign you in.
  • To operate core features: scheduling, event signups, team assignment, materials, and attendance.
  • To enforce your club's attendance policy (for example, tracking strikes) at the direction of your teacher or executives.
  • To protect the service against abuse, fraud, and unauthorized access.
  • To respond to support requests you send me.

I do not sell your personal information, and I do not use it for advertising.

Cookies and similar technologies

OlympIQ itself does not set cookies. It uses browser local storage that is necessary for the service to function, for example keeping you signed in and holding the App Check security token. The only cookie involved is set by Google reCAPTCHA, which supports App Check and protects the service from bots. I do not use analytics, advertising, or cross-site tracking cookies, so no cookie-consent banner is required for this strictly necessary storage. Because the app relies only on necessary storage, disabling it may prevent you from signing in or using the app.

Service providers

I rely on Google Firebase (Authentication, Firestore database, App Check) and Google reCAPTCHA to run OlympIQ. Your data is stored and processed on Google Cloud infrastructure on my behalf. These providers process data under their own privacy terms; I share only what is needed to operate the service and do not authorize them to use your data for their own purposes beyond providing the service to me.

How your information is shared within OlympIQ

Within an Olympic you join, other members and the supervising teacher or executives can see certain participation data, for example your display name, grade, event assignments, and attendance status, because these are needed to organize the event. Your login credentials are never visible to other users. Attendance strike details are visible to staff; a competitor can see their own status.

Data retention

I keep your information for as long as your account and memberships are active. When you leave an Olympic or are removed, related membership data, form responses, and strike records are deleted. You may request deletion of your account and associated personal information by contacting me (see below).

Your choices and rights

Under PIPEDA you may request access to the personal information I hold about you, ask me to correct it, or ask me to delete your account. To make a request, or to ask a question about your privacy, email me at olympiqsupport@gmail.com. I will respond within a reasonable time.

Security

I use industry-standard measures to protect your information, including authentication, server-side access rules that restrict who can read or write each piece of data, and bot-protection via App Check and reCAPTCHA. No method of transmission or storage is completely secure, but I work to protect your information.

Children's privacy

OlympIQ is designed to be used by students within a school or club context under adult supervision. I do not knowingly collect more personal information from students than is needed to run Science Olympics activities. If you believe a student's information has been collected improperly, contact me and I will address it.

Changes to this policy

I may update this Privacy Policy from time to time. When I do, I will revise the "Last updated" date at the top of this page. Material changes will be reflected here; your continued use of OlympIQ after an update means you accept the revised policy.
